# How to Respond to a Negative Google Review

How to respond to a negative Google review comes down to three things: stay calm, keep it short, and take the details offline. Your reply is written as much for the next customer reading it as for the reviewer. Done right, it also keeps your options open if the review breaks Google's policies and you plan to report it.

You pay only if the review is removed.

## How to respond to negative reviews: what Google recommends

Google's own [tips for review replies](https://support.google.com/business/answer/3474122) are short and practical:

- Be professional and polite, and keep it short and simple.
- Acknowledge the reviewer's specific feedback instead of pasting a generic thank-you.
- Protect privacy and avoid personal attacks; offer to sort things out privately.
- Apologize when it is appropriate, and reply in a timely manner.

## Post the reply from your Business Profile

1. **Open your reviews.** Go to your Business Profile and select Read reviews.
2. **Write the reply.** Select Reply next to the review, type your answer in the dialog box and select Reply.
3. **Edit if you need to.** The customer is notified and can still change the review after reading your reply. You can edit or delete your reply later from the same screen.

## A reply structure that works for most cases

- Thank them for the feedback, in one line.
- Name the specific issue they raised, so readers see you read it.
- Give one sentence of context, with no customer details and no blame.
- Offer a direct way to continue the conversation privately.
- Sign with a name or role, not just the business name.

## Example replies for common situations

### A real customer with a real complaint

"Thank you for telling us about the long wait on Saturday. That is not the experience we want for anyone, and we have changed how we schedule weekend staff. If you are open to it, please call us and ask for the manager so we can make it right."

### A reviewer you cannot find in your records

"We take every review seriously, but we could not find a visit or order that matches this description. Please contact us directly with your order details so we can look into it."

### A review with a factual error

"Thanks for the feedback. To clarify for other readers, we do not charge a fee for estimates. We would still like to hear more about your visit, so please reach out to us directly."

## Responding to positive reviews

Knowing how to respond to Google reviews also means answering the good ones. Google suggests skipping the generic thank-you and replying where you can add something: a useful update, an answer to a question, or a detail that invites the customer back.

Keep it conversational, not promotional; Google advises against using replies to offer deals. "Thank you for mentioning our new evening hours. We are glad they worked for you."

To approve replies instead of writing each one, see our [review management service for your Google reviews](https://removemyreviews.com/services/review-management-service/).

Replies do not remove a review that breaks Google's rules; for that, see [Remove Negative Google Reviews](https://removemyreviews.com/services/remove-negative-google-reviews/).

## What to avoid if you also plan to report the review

A reply that stays calm keeps the focus on the review, not on you.

- Do not accuse the reviewer of lying or name who you think wrote it.
- Do not share order details, health information or anything private about them.
- Do not offer a discount or anything else of value in exchange for changing the review; Google does not allow incentives for reviews.
- Do not agree with facts that are not true just to calm things down.

If the review is fake or part of a wave, replying is only half the job. ## How we handle every review

- **You pay only if the review is removed.** If the review stays up, you owe nothing for that review.
- **The platform makes the final call.** Google and every other platform decide what comes down under their own rules. We prepare the strongest request those rules allow, and no one can promise a removal.
- **Legitimate routes only.** Policy reports, appeals, legal requests when a review may be unlawful, and a public response when a review has to stay. No fake accounts, no mass flagging and no fake reviews.

## Questions about replying to reviews

### Should I reply to every negative review on Google?

Google recommends replying in a timely manner and focusing on reviews where you can give a meaningful answer. A short, calm reply shows future customers that you listen.

### Can I edit or delete my reply later?

Yes. In your Business Profile, open Read reviews and choose Edit or Delete under your reply.

### Does replying stop me from reporting the review?

No. Replying and reporting are separate options in your Business Profile, and Google evaluates a report against its content policies.
